Upnify Engage + Zoom Integration

Learn how to add, use, troubleshoot, and remove the Upnify Engage Zoom app.

Overview

The Upnify Engage + Zoom integration allows Upnify users to connect a Zoom account to Engage and manage virtual events directly from Upnify.

With this integration, users can connect a Zoom account, create virtual events as Zoom Meetings or Zoom Webinars, register attendees from Upnify Engage event widgets, synchronize event registration and attendance information, store each attendee's unique Zoom join URL, access cloud recording links when available, and disconnect or remove the Zoom integration when it is no longer needed.

This documentation explains how to add, use, troubleshoot, and remove the Upnify Engage Zoom app.

Prerequisites

Before adding the Zoom integration, make sure you have:

  • An active Upnify account with access to Upnify Engage.
  • Permission to access Engage settings and integrations.
  • Permission to create and edit Engage events.
  • A Zoom account authorized to connect third-party apps.
  • A Zoom account with the required capabilities for the features you want to use.

Additional Zoom requirements

  • To create Zoom Webinars, your Zoom account must have the Zoom Webinars add-on enabled.
  • To use cloud recordings, your Zoom account must have cloud recording available and enabled.
  • If your Zoom administrator restricts Marketplace apps, you may need admin approval before adding the app.

1. Adding the App

Follow these steps to connect Zoom to Upnify Engage.

Step-by-step installation

  1. Log in to your Upnify account.
  2. Go to Engage.
  3. Open Settings.
  4. Go to Integrations.
  5. Select the Zoom integration card.
  6. Click Connect Zoom account.
  7. You will be redirected to Zoom.
  8. Log in with the Zoom account you want to connect.
  9. Review the requested permissions.
  10. Click Allow to authorize the integration.
  11. After authorization, you will be redirected back to Upnify.
  12. Complete the integration setup in Upnify:
    • Integration name
    • Default contact phase
    • Default contact origin
    • Default assigned user
    • Default tags, if needed
  13. Save the integration.
Expected result

The Zoom account will appear as an available connected account inside Upnify Engage. You will be able to select it when creating virtual events.

2. Using the App

2.1 Connect one or more Zoom accounts

Upnify Engage allows you to connect multiple Zoom accounts. This is useful when different teams, branches, or business units manage their own virtual events.

To add another Zoom account

  1. Go to Engage > Settings > Integrations.
  2. Select the Zoom integration.
  3. Click Connect Zoom account.
  4. Authorize the additional Zoom account.
  5. Save the configuration.

2.2 Create a Zoom Meeting from an Engage event

Use this option when you want to host a virtual event through Zoom Meetings.

Steps

  1. Go to Engage > Events.
  2. Click New Event.
  3. Enter the event information: title, description, date, start time, duration, and time zone.
  4. Select Event type: Virtual.
  5. Select Create event in Zoom: Yes.
  6. Select Zoom event type: Meeting.
  7. Choose the connected Zoom account.
  8. Select whether the session should be recorded automatically, if available.
  9. Save the event.
Expected result

Upnify creates the Zoom Meeting and stores the meeting information inside the Engage event.

2.3 Create a Zoom Webinar from an Engage event

Use this option when you want to host a virtual event using Zoom Webinars.

Prerequisite

Your connected Zoom account must have the Zoom Webinars add-on enabled.

Steps

  1. Go to Engage > Events.
  2. Click New Event.
  3. Enter the event information: title, description, date, start time, duration, and time zone.
  4. Select Event type: Virtual.
  5. Select Create event in Zoom: Yes.
  6. Select Zoom event type: Webinar.
  7. Choose the connected Zoom account.
  8. Select whether the session should be recorded automatically, if available.
  9. Save the event.
Expected result

Upnify creates the Zoom Webinar and stores the webinar information inside the Engage event.

If Webinars are not available

If the connected Zoom account does not have Webinars enabled, Upnify may disable the Webinar option or show a message indicating that Webinars are not available for that Zoom account.

2.4 Update a Zoom Meeting or Webinar from Upnify

When a Zoom-connected event is edited in Upnify Engage, the corresponding Zoom Meeting or Webinar is updated.

  1. Go to Engage > Events.
  2. Open the event.
  3. Edit the title, description, date, time, duration, or time zone.
  4. Save the changes.
Expected result

The corresponding Zoom Meeting or Webinar is updated with the changes made in Upnify.

2.5 Register attendees from an Engage widget

When a visitor registers for a Zoom-connected event through an Upnify Engage widget, Upnify also registers that person in Zoom.

Use case: This allows companies to promote events through their website while keeping both Upnify and Zoom updated.

  1. Publish or preview the Engage event widget.
  2. Open the public registration form.
  3. Fill out the registration form.
  4. Submit the form.
Expected result

The attendee is registered in Upnify Engage and also added as a Zoom registrant. Upnify stores the attendee's unique Zoom join URL.

2.6 Use the Zoom join URL in communications

For Zoom-connected events, Upnify stores each registrant's unique Zoom join URL.

The following tag can be used in Upnify communications: [EVENTO_URL]

This tag can be used in emails, SMS messages, or WhatsApp templates to send each attendee their unique Zoom access link.

2.7 Copy the Zoom registration link

Users can copy the Zoom registration link from the event menu.

  1. Go to Engage > Events.
  2. Find the Zoom-connected event.
  3. Open the contextual menu.
  4. Select Copy link.
Expected result

The Zoom registration link is copied to the clipboard.

2.8 Sync registrants from Zoom to Upnify

If a person registers directly through Zoom, or if the host manually adds a registrant in Zoom, Upnify can create or update the corresponding contact in Engage.

  • If the contact does not exist, Upnify creates a new contact.
  • If the contact already exists, Upnify updates the existing contact according to the account's duplicate-detection rules.
  • The contact is linked to the corresponding event registration.

2.9 Attendance tracking

After a Zoom Meeting or Webinar ends, Upnify can retrieve participant information from Zoom and update attendance in Engage.

Expected behavior

If a registered attendee joined the Zoom session, Upnify marks that person as Attended in the Engage event.

2.10 Cloud recording links

If the connected Zoom account supports cloud recording and the event has a cloud recording available, Upnify can display or copy the Zoom recording link.

Prerequisite

Cloud recording must be available and enabled in the connected Zoom account.

Steps

  1. Create a Zoom-connected event in Upnify.
  2. Enable automatic recording, if available.
  3. Hold the Zoom session.
  4. End the session.
  5. Wait for Zoom to finish processing the cloud recording.
  6. Go back to Engage > Events.
  7. Open the event contextual menu.
  8. Select Recording, if available.
Expected result

If Zoom has processed the cloud recording, Upnify displays the recording option and allows the user to access or copy the recording link.

3. Removing the App

Users can disconnect Zoom from Upnify or remove the Upnify app directly from the Zoom App Marketplace.

3.1 Disconnect Zoom from Upnify

  1. Log in to Upnify.
  2. Go to Engage.
  3. Open Settings.
  4. Go to Integrations.
  5. Select the connected Zoom integration.
  6. Click Disconnect or Remove integration.
  7. Confirm the action.
Expected result

The Zoom account is disconnected from Upnify Engage and can no longer be selected for new Zoom-connected events.

3.2 Remove the app from Zoom

  1. Log in to your Zoom account.
  2. Go to the Zoom App Marketplace.
  3. Click Manage.
  4. Go to Added Apps.
  5. Search for Upnify.
  6. Select the Upnify app.
  7. Click Remove.
  8. Confirm the removal.

3.3 Implications of removing the app

After the Zoom integration is disconnected or removed:

  • Upnify stops creating Zoom Meetings and Webinars.
  • Upnify stops updating Zoom Meetings and Webinars.
  • Upnify stops deleting Zoom Meetings and Webinars.
  • Upnify stops registering attendees in Zoom.
  • Upnify stops synchronizing registrants from Zoom.
  • Upnify stops synchronizing participant and attendance information.
  • Upnify stops retrieving Zoom cloud recording information.
  • Existing Engage events remain available in Upnify for historical reference.

3.4 User data after removal

After deauthorization:

  • Upnify no longer uses the disconnected Zoom account to access Zoom APIs.
  • Zoom authorization tokens are revoked or removed according to Upnify's authorization handling process.
  • Previously created Engage event records may remain in Upnify for historical and reporting purposes.
  • Previously stored event registration information may remain in Upnify according to the company's data retention configuration and applicable privacy policies.
  • Zoom Meetings, Webinars, registrants, participants, and recordings remain subject to Zoom's own account settings and retention policies.

4. Troubleshooting

4.1 I cannot connect my Zoom account

Possible causes

  • You are not logged in to Zoom.
  • Your Zoom account does not allow adding Marketplace apps.
  • Your Zoom administrator requires app approval.
  • You do not have permission to authorize third-party apps.

Recommended actions

  1. Confirm that you can log in to Zoom.
  2. Ask your Zoom administrator whether Marketplace app approval is required.
  3. Try connecting again from Engage > Settings > Integrations > Zoom.
  4. If the problem continues, contact Upnify Support.

4.2 I cannot create a Zoom Webinar

Possible causes

  • The connected Zoom account does not have the Zoom Webinars add-on.
  • The Zoom account does not have permission to create webinars.
  • The Webinar option is disabled for the connected account.

Recommended actions

  1. Confirm that your Zoom account has Zoom Webinars enabled.
  2. Confirm that the connected Zoom user can create webinars in Zoom.
  3. Try creating the event as a Zoom Meeting instead.
  4. Contact your Zoom administrator or Upnify Support if the issue continues.

4.3 I cannot enable automatic recording

Possible causes

  • Cloud recording is not enabled on the connected Zoom account.
  • The account plan does not support cloud recording.
  • The Zoom administrator disabled cloud recording.

Recommended actions

  1. Confirm that cloud recording is enabled in Zoom.
  2. Confirm that the connected Zoom user can create cloud recordings.
  3. If recording is unavailable, create the event without automatic recording.
  4. Contact your Zoom administrator or Upnify Support if needed.

4.4 Attendees are not appearing in Zoom

Possible causes

  • The event was not created in Zoom.
  • The Zoom account was disconnected.
  • The attendee registration failed due to missing or invalid required data.
  • The event registration form was submitted before the Zoom event was created.

Recommended actions

  1. Confirm that the Engage event is connected to Zoom.
  2. Confirm that the Zoom account is still connected.
  3. Review the event registration list in Upnify.
  4. Try registering again with a valid name and email address.
  5. Contact Upnify Support if the registrant still does not appear in Zoom.

4.5 Attendance is not updated

Possible causes

  • The attendee did not join the Zoom session.
  • The attendee joined with a different email address.
  • The Zoom session has not ended yet.
  • Zoom participant data is not available yet.
  • Synchronization has not finished.

Recommended actions

  1. Confirm that the Zoom session has ended.
  2. Wait a few minutes and refresh the event report.
  3. Confirm that the attendee joined using the unique Zoom join URL.
  4. Confirm that the attendee is listed as a participant in Zoom.
  5. Contact Upnify Support if attendance is still not updated.

4.6 Recording link is not available

Possible causes

  • Cloud recording was not enabled.
  • The session was not recorded.
  • Zoom is still processing the recording.
  • The connected Zoom account does not support cloud recording.

Recommended actions

  1. Confirm that the session was recorded in Zoom.
  2. Wait until Zoom finishes processing the cloud recording.
  3. Confirm that the recording is available in Zoom.
  4. Refresh the event menu in Upnify.
  5. Contact Upnify Support if the recording is available in Zoom but not in Upnify.

5. Frequently Asked Questions

Does Upnify create Zoom Meetings and Webinars automatically?

Yes. When you create a virtual event in Engage and select Create event in Zoom: Yes, Upnify creates the corresponding Zoom Meeting or Webinar.

Can I connect more than one Zoom account?

Yes. Upnify Engage supports multiple connected Zoom accounts.

Can I create a virtual event without Zoom?

Yes. Not every virtual event must be connected to Zoom. When creating the event, select Create event in Zoom: No.

Why is the Webinar option disabled?

The connected Zoom account may not have the Zoom Webinars add-on enabled.

What is [EVENTO_URL]?

[EVENTO_URL] is a tag that Upnify can replace with the attendee's unique Zoom join URL in emails, SMS messages, or WhatsApp templates.

Will deleting the app remove my existing Upnify events?

No. Existing Engage events remain available in Upnify for historical reference. However, Upnify will no longer create, update, delete, or synchronize Zoom information for the disconnected account.

Will removing the app delete my Zoom recordings?

No. Removing the app from Zoom only revokes Upnify's access. Zoom recordings remain subject to your Zoom account settings and retention policies.
