Two-Way Communication with External Collaborators in Flow

Now your team and external collaborators can communicate directly from within the task, exchanging messages and evidence to resolve questions and complete the work without leaving the process.

Two-Way Communication with External Collaborators in Flow

The external collaborator links in Upnify Flow are evolving to make it even easier to work with suppliers, technicians, contractors, and other people who participate in your processes without being Upnify users.

Until now, an external collaborator could access a task through their link to review the activity, submit information, and attach evidence. Communication is now two-way: the collaborator and the internal assignee can stay in contact from the same task to resolve questions and keep the work moving forward.

What changed?

The external collaborator link now also works as a communication channel with your team. Messages sent from Flow can be viewed by the external collaborator, and their replies are added directly back to the task.

A conversation connected to the task

When an external collaborator receives a task, they continue accessing it through their unique link, without needing an Upnify user account or password.

From this link, they can review the activity information and stay in communication with the internal assignee while the work is in progress.

This allows both parties to:

  • Exchange messages related to the task.
  • Resolve questions or request additional information.
  • Share photos, videos, files, and other evidence.
  • Follow up on the work performed.
  • Keep the conversation linked to the process until the activity is completed.

Your team keeps track of everything from Flow

The internal assignee does not need to move the conversation to other channels to communicate with the supplier or collaborator. They can continue the follow-up from Flow and keep the information associated with the same task.

When the external collaborator replies or shares new evidence through their link, the information is added to the activity so your team can continue the follow-up.

What are the benefits?
  • Resolve questions with suppliers and collaborators while a task is being carried out.
  • Avoid scattered conversations across external channels.
  • Keep messages, files, and evidence connected to the same process.
  • Maintain greater traceability of communication and completed work.

With this improvement, external collaboration is no longer limited to simply sending information: your team and the collaborator can now communicate throughout the process to take the task through completion without losing context or traceability.
